ADVISORY BOARD PLANNER

The Advisory Board Planner is provided as a practical and comprehensive tool for anyone wishing to understand and track the different steps that should be considered when planning an Advisory Board.
The Planner can be used electronically or printed as a checklist to monitor the organization, execution
and management of your Advisory Board Meeting.

Identify need/challenge and define objectives

Determine if Advisory Board (AB) is best solution

Explore AB concept options

Establish target date and backup dates for AB meeting

Define profile and identify prospective AB members; create 'A' and 'B' lists

Decide level of fee or honorarium for AB members

Choose city and 'appropriate caliber' venue for meeting

Decide on other meeting-related activities (i.e. dinners, leisure)

Create Invitation Letter; invite and confirm AB members

Identify AB meeting participants from company/organization

Choose, negotiate, and book hotel venue (sleeping rooms and meeting room)

Organize all food and beverage (including meal menus, cocktail receptions, off-site dinners, etc.)

Liaise with AB members to arrange air and ground transportation, hotel reservations, other

Provide all audio-visual and other technical arrangements and on-site technicians

Prepare and distribute formal AB contracts and Non-disclosure Agreements to AB members

Prepare and send pre-meeting materials to AB members (as needed)

Create meeting agenda, Discussion Guide and presentation slides

Train and brief AB Moderator (as needed)

Train Presenters (as needed)

Provide professional on-site management and logistics staff for meeting

Execute meeting with continuous monitoring and adjustments as needed

Evaluate meeting through AB member questionnaire

Debrief post-meeting

Produce Meeting Report and Analysis; revise and finalize

Prepare and mail Thank You Letters and fee/honorarium payments

Follow up with AB members (as required)
